User Group cannot be tracked in Asset

Hi,

I have created the group named ‘AM’ a month ago and already added users and shared dashboards with this group (1). Now I want to check what assets this group has permission to but I can’t search it (2). Other groups can still be searched in Manage Asset.

How can I view this group’s assets? And how to fix this in advance?

I also noticed that when I share an asset with a group, the users in the group can see the asset but it would not show individually via Manage Asset (3). I think it is supposed to display what this user can see, it is showing ‘No results’ but the user can still see assets shared with them in groups then this does not make sense.

Is there a more effective way to manage this user - group - asset situation?

Thank you for posting the question.

  1. Typically once group is created, it should be displayed in the group. Are you able to see the group in Manage groups ?
  2. In the Assets search bar at times, you would need type and click enter and if group exist it should appear.
  3. when you assign asset to group, it appears in the asset by group. If the group is changed to user belonging to same group, the asset may not be shown unless the asset is explicitly shared to the user and vice versa.
    I do know its sounds and looks weird but seems QuickSight Asset management works that way.
    May be its design to avoid conflict in cases where user is assigned certain asset but those asset are not assigned to group(s) where that user belongs.

Better to assign asset to groups than individuals unless its really needed.

  1. I can see the group in Manage Groups, I can still add and remove members of this group. New members can still see the assets that are shared with them.

  2. Yes, I do type and enter the group name but it does not appear. I am wondering if this is because the group name has only 2 letters. I have another group with 2-lettered names that cannot be searched in Manage Asset. This seems like it’s happening with usernames that have 2 letters too!

Yes it seems the case with Two characters, i could reproduce the issue where i created group called AM and it could not be found but with group name as AMI, i was able to search the group.

i.e - minimum or at-least 3 character in Group names.

Hi @Kristin. I also tested with similar results. Please can you help reach out internally to find out how we can get this reviewed - the API documentation states no minimum limit of 3 on Group Name. Thanks.

In the meantime, @tructran, thank you for letting us know. I would recommend filing a case with AWS Support where we can dive into the details so that we can help you further. Here are the steps to open a support case. If your company has someone who manages your AWS account, you might not have direct access to AWS Support and will need to raise an internal ticket to your IT team or whomever manages your AWS account. They should be able to open an AWS Support case on your behalf. Hope this helps!
