Use Quick Suite Flow to Automate and Send Custom Dashboard Exports

Hello QS Community!

I am looking to understand the capability of Flows a bit better, in order to help solve a business problem.

Business area/problem: Trade show industry. When a trade show ends, we want to send an automated report to a sales rep of the shows’ performance. We use a dashboard called ‘Post Show’. They will then use this to communicate the performance with our customers/reps for that show. As mentioned, we want this all automated, and to have that dashboard sent 3 days after the show end date to the sales rep’s email.

Currently, I have the Post Show show/sales data set up in a Topic. It is a dataset that has ReportSendDate (show end date +3 days), CurrentDate, SalesRepEmail, ShowID, and PreviousShowID. The Dashboard currently uses a ShowID control. The idea is that…

  1. When the ReportSendDate is equal to the CurrentDate:
    1. The Flow will use the ShowID and PreviousShowID as the input controls to the dashboard
    2. Generate a PDF
    3. Send that PDF to the sales person associated with the show. If there is more than one, it should send to both. (presumably, this will be done with an Outlook Integration, as AWS SES is not available)

Does this make sense as a use case in a Flow? Is there an better/easier way to accomplish this in Quick Suite?

It would be great to use the scheduler in the dashboard, but that doesn’t allow for the customization we need. Also, there is no option in Quick Suite to set up an action connector to AWS SES. That would be a great option, as we can connect to several other AWS services there already.

Welcome to the Quick Suite Community! Based on your outline of how you want to approach this, I think this is definitely possible as you can connect an AI response to generate for the PDF based on the data, along with the various action connectors you mentioned that are needed. I would definitely recommend to try it out and if you run into any issues, please feel free to post and we can see if there is a doable solution/workaround for it!

In regard to your idea of the AWS SES action connector, I’ll keep this post marked as a feature request.

Thank you, @WLS-Luis. I’ve set up the flow, but hit small blocker with the scheduled runs/connector.

Out of curiosity, is it possible to connect to AWS SES through any of the current options? That would be preferable on our team, if possible.

Regarding the scheduled runs, I am trying set up a run to run daily at 7am EST. When I finish the first steps, I go ‘Next’ to the ‘Inputs’. My Flow doesn’t require any inputs, so I choose ‘Save’. After I press save, the page seems to load for a bit, then takes me back to the create scheduled runs pop out? It is not saving the scheduled runs that I am creating. Are there any additional steps I am missing to create a scheduled run?

Let me know if I misunderstood your message at all, but for scheduled runs, I would recommend after having it created to go back to Scheduled Runs and make sure that it is toggled active. After that, you shouldn’t need to save your Flow unless you made specific changes, as the scheduled runs are automatically saved upon creation. The run should go through if all of this is ensured.

Regarding how to connect to AWS SES, I believe this could be possible by setting up a general MCP integration and connecting a third-party application for your case. For example, if you utilize something like Zapier, you can connect AWS SES to that MCP server, which should allow you to call upon those email actions once you put integration into your Flow.

I must’ve had some sort of bug - none of the schedules I saved were showing as present and it kept taking me back to the ‘Create a schedule’ pop-out each time I saved.

I signed out and in again, and saw the 10+ schedules I had tried to make, all set up as active on the Flow :laughing: I am now able to add/edit and see the changes immediately.

@WLS-Luis when setting up the step to generate the PDF, do you have a recommendation on what type of step it should be? i.e. Data Insights (quick suite data, dashboards and topics), Actions (application actions), AI Reponses (ui agent, web search), etc.

I set up the final steps to generate a PDF and then to send the email via the Outlook integration, but the Flow ran with an error response that it was unable to execute the steps. The exact response was, “I understand you want to set dashboard controls, but I’m unable to directly modify dashboard control values from chat. Dashboard controls need to be set through the Quick Sight dashboard interface itself.”

Based on my use case, we need this to be entirely automated. Is there a way to accomplish this using a Flow?

Any other thoughts on this one? Looks like Flows are not able to assist. The UI Agent seems like it is unreliable as well, since it is still in a preview state.

Although originally I said this could be possible, it can for sure be tricky working around with chat agent feedback and therefore not completely sure if this is the case.

I would definitely keep playing around to see if you can progress in its behavior implementation. However, if you are not able to, I would definitely recommend creating an AWS Support ticket, as they may be able to assist you further in your use case.

@WLS-Luis thank you, yes, I read your prior message. We opened a case and are waiting for further review. There was no solution readily available within the Quick Suite offerings that was able to solve the problem .
