Hello I want to create a Chat bot which will retrieve data directly from Sharepoint materials which are links to the SOP. How can I integrate data directly from Sharepoint into spaces for the easy feasibility of Chatbots without any changes everytime. This would be good instead of uploading the SOP content in a word and then sharing the word in Knowledge bases, as SOP will eventually have changes or updates, which will again require the content update for the chatbot. So, I was reaching out for steps to directly integrate sharepoint material to knowledge bases where if there is any changes in future, there wont be any manual effort needed to again upload the new contents, where changes will get updated directly if the source gets updated.

you should be able to configure the Knowledge Base

  1. Specify a name for your knowledge base

  2. Use the file picker or sync options to select the specific SharePoint files/folders (your SOP links/documents) you want to include

  3. Click Create

Syncing will automatically begin after creation.

When you reach the knowledge base configuration step, If i am not mistaken, you’ll typically may have two approaches:

:file_folder: Option 1: File Picker (Manual Selection)

This lets you browse and select specific files or folders from your SharePoint site:

  • Navigate through your SharePoint site’s directory structure

  • Select individual SOP files (e.g., a specific .docx or .pdf)

  • Or select entire folders (e.g., /SOP Documents/Manufacturing/) so all files within are included

  • Best for: When you want precise control over exactly which documents are in the knowledge base

:counterclockwise_arrows_button: Option 2: Sync Options (Broader Scope)

This lets you define rules or scope for what gets synced, rather than picking files one by one:

  • Sync an entire SharePoint site or document library (e.g., your full team site)

  • Sync based on folder paths — e.g., point it to /Shared Documents/SOPs/ and everything under that path is included

  • New files added to that folder in the future are automatically picked up on the next sync

  • Best for: When SOPs are regularly added/updated and you want the knowledge base to stay current without re-configuring
